Need it for longer than a few months?
Recordings are set to expire (120 days by default at most organisations). If this needs to be kept, download a copy or move it into a library that is not on the expiry clock.
The recording is personal information. It captures people's voices and, sometimes, faces. Share it only with the people who were meant to see it. Sharing a private conversation beyond those people without their agreement can be an offence under NT law. For a routine orientation run-through this is straightforward; for anything sensitive, share the notes, not the recording.

Do I need Teams Premium for this?
Short answer: not to record and share. Only for the automatic AI summaries.
Standard Teams does all of this (high)
Recording a meeting or presentation, and its transcript.
The recording saving to OneDrive or SharePoint.
Sharing the recording by link, with permissions.
What it needs: an ordinary Microsoft 365 licence that includes Teams (for example E1, E3, E5, F3, A1, A3, A5 or Business), and your IT admin having the cloud-recording setting switched on. No add-on.
Teams Premium adds a layer on top (high)
Intelligent recap: AI-written notes, action items and a summary.
Speaker markers, auto chapters and a searchable transcript to jump around the recording.
Live translated captions and transcripts.
An organiser control over exactly who is allowed to record.
As of 1 April 2026, some former Premium features moved to Teams Enterprise, but the intelligence features above stay in Premium. It is a paid add-on, assigned per person, on top of a normal Teams licence.
So, for the Council: staff can record a presentation and share it with people who missed it on their normal licence. Premium is worth it for the people who want the meeting written up automatically, which is why some key staff have it and most do not. The recording itself does not depend on who has Premium.
The PowerPoint Live list is not your computer's files; it is your Microsoft 365 cloud files.
1The list shows recent cloud files only. Decks you recently opened or edited in your OneDrive or a team SharePoint site appear automatically. A deck saved only on your desktop, in Downloads, or on a USB stick will never show up, no matter how recently you worked on it.
2Two ways to fix it. Save the deck to OneDrive before the meeting (the painless option), or use Browse my computer and let Teams upload a copy for you on the spot.
3Know where the uploaded copy goes. In a normal meeting it lands in your OneDrive and is shared with the people in the meeting. In a channel meeting it lands in the channel's Files tab, where the whole team can open it.
4File type and timing. PowerPoint Live takes .pptx and .ppsx files up to 2 GB; an old .ppt file will not present. Finish editing a few minutes before you present, so the cloud copy has caught up with your changes.
Your deck is not in the cloud yet, so Teams will upload a copy to present from.

Because this is a normal meeting, the copy goes to your OneDrive, shared with the people in the meeting. If this were a channel meeting, it would go to the channel's Files tab instead, where the whole team could open it.
Only .pptx and .ppsx files up to 2 GB can be presented this way; an old .ppt file would need saving as .pptx first.
Before you press record
Announce it out loud first. It takes ten seconds and keeps you on the right side of the law and your colleagues.
1Say it before you press the button. Give people a genuine chance to speak up.
"I am going to record this so anyone who could not make it can watch it back. Any concerns before I start?"
2If anyone objects in a sensitive meeting, do not record. Take notes instead. For a general orientation run-through, recording is fine.
