Session 10 Activity 10(c) Create a Teams Meeting Invitation

Your supervisor has sent you a message asking you to organise a team meeting about a garden improvement project. Follow the steps to create and send a meeting invitation, then reply to confirm.

Read Your Supervisor's Message

Look at the Teams window. Your supervisor Karen Mitchell has sent you a message.

Click on Karen Mitchell's chat in the chat list to read her message.

The blue dot shows it's unread. Read carefully - she's giving you a task to complete.

Navigate to Calendar

To create a meeting invitation, you need to go to the Calendar section.

Click on the Calendar icon (šŸ“…) in the left sidebar.

The Calendar is where you schedule meetings and appointments in Teams.

Start a New Meeting

Now you're in Calendar view. Create a new meeting invitation.

Click the "New Meeting" button in the top right corner.

This opens a form to enter the meeting details.

Fill in Meeting Details

Complete the meeting form. Remember Karen asked about improving the garden space.

Fill in all fields:
• Title - What the meeting is about
• Attendees - Who to invite
• Location - Where to meet
• Agenda - What you'll discuss
• Options - Meeting settings

Keep it professional and business-like.

Send the Invitation

Check your details are correct, then send.

Click "Send Invitation" to send your meeting request.

Your colleagues will receive it in their calendars.

Step 6 of 6

Reply to Your Supervisor

Karen asked you to let her know when you've sent the invitation. Time to reply!

Type a professional reply in the message box and click Send.

Let her know the invitation has been sent and include relevant details like when the meeting is scheduled.

Steps taken to send the message (for part c):

  1. Read the Teams message from my supervisor Karen Mitchell
  2. Clicked on Calendar in the left sidebar
  3. Clicked "New Meeting" button to create a meeting invitation
  4. Filled in the meeting title, attendees, date/time, location, and agenda
  5. Selected meeting options (for example video, recording, allow external guests)
  6. Clicked "Send Invitation" to send to all attendees
  7. Replied to my supervisor to confirm the invitation was sent
